Owens Pump & Equipment (OPE) is seeking a detail-oriented Accounting Clerk / Administrative Assistant to support our accounting, purchasing, and administrative operations. This role plays a key part in managing vendor transactions, customer invoicing, and coordinating internal workflows tied to equipment sales. This position requires someone comfortable working inside an ERP system (Zoho environment), handling multi-vendor purchase orders, tracking freight, and ensuring accuracy from quote → sales order → purchase order → invoice. OPE specializes in heavy-duty pumps and wastewater equipment. We do not sell to the general public—our focus is supporting professional operators, engineers, and public works departments. Key Responsibilities Accounting & Finance • Process accounts payable • Process accounts receivable, invoicing, and collections follow-up • Reconcile expenses, credit cards, and bank accounts • Support month-end close and reporting • Maintain accurate financial and vendor records Sales Order & Purchasing Workflow • Convert sales orders into invoices • Review orders for pricing, freight, and special requirements • Ensure accuracy and completeness of invoices • Maintain clear linkage between sales orders and purchase orders • Communicate with vendors on order status, lead times, and confirmations Administrative Support • Answer phones and route inquiries • Sales prep & organization for trade shows • Maintain organized digital records (quotes, POs, invoices) Qualifications • 1–3 years of accounting, bookkeeping, or administrative experience • Experience with ERP/accounting software (Zoho preferred; e.g., Zoho Books) • Strong understanding of purchase orders and vendor workflows • Proficiency in Microsoft Excel, Word, and Outlook • High attention to detail and accuracy • Strong organizational and communication skills Employment Details • Position: Full-Time • Training: Paid training provided • Benefits: Available to full-time employees (waiting period may apply) • Reports To: Branch Manager Compensation & Benefits • Competitive pay (based on experience) • Paid time off and holidays • Health, Dental, Vision and more benefits (available to the employee) • Retirement plan (available after waiting period) Job Types: Full-time, Part-time Pay: $23.00 - $34.00 per hour Benefits: • 401(k) • 401(k) matching • Dental insurance • Flexible schedule • Health insurance • Life insurance • Vision insurance Experience: • Accounts receivable: 1 year (Required) • ERP systems: 1 year (Required) • Zoho Books: 1 year (Preferred) License/Certification: • Driver's License (Preferred) Ability to Commute: • Canby, OR 97013 (Preferred) Work Location: In person
